1.1 All bookings are confirmed only once a deposit or full payment has been received.
1.2 We do not guarantee service dates or times until written confirmation has been issued.
1.3 The person making the booking must be 18 years or older and authorised to enter into this agreement.
1.4 It is your responsibility to obtain permission from your venue for a dove release. Should you book a release and later find that it is not permitted at your venue, the deposit will be retained as part of a non-refundable booking fee.
2.1 A non‑refundable deposit (as shown in your booking quote) is required to secure your event date.
2.2 The remaining balance is due no later than 30 days before the event.
2.3 Bookings made with less than 30 days’ notice must be paid in full at the time of booking.
3.1 The safety and welfare of our birds is our top priority. We will not release doves/pigeons in unsafe weather conditions, including heavy rain, snow, fog, high winds, or other conditions that could prevent birds from safely navigating home.
3.2 Birds are not released too close to dusk or at night.
3.3 If weather conditions are unsuitable at the venue on the day, we can provide the pigeons in their decorative cage for a photo opportunity, allowing you to still create symbolic photographic memories while ensuring their safety. No refund will be issued should this be required instead of a full release due to unforeseen weather conditions.
4.1 Client Cancellations:
If you cancel more than 30 days before the event, we will issue a refund of all payments made minus the non‑refundable deposit and any additional bespoke decorations booked, such as colour‑coordinated flowers, ribbons, or other decorations purchased for your event.
Cancellations made within 30 days of the event are non‑refundable due to allocation of resources and training commitments.
4.2 Weather‑Related Cancellations:
If we must cancel a release due to unsafe weather before travelling to your event, you will receive a full refund.
If we cancel after travel has commenced due to unsafe weather, refunds will be issued less travel/delivery costs and any additional bespoke decorative costs.
5.1 Our trained white homing pigeons will be released from your confirmed venue/location only if there is sufficient daylight and safe weather for the birds to return to their home loft in Cheltenham.
5.2 Releases may be cancelled if events run late or if there is insufficient time for birds to return home by nightfall.
5.3 We do not provide birds for self‑release or pigeon shipping by mail or courier.
6.1 Our base loft is in Cheltenham, Gloucestershire, and birds are trained to return from releases across Gloucestershire, the Cotswolds, Wiltshire, Worcestershire, Oxfordshire, and surrounding areas.
6.2 Travel costs will be clearly stated at time of booking and form part of the overall booking invoice.
7.1 While we take every precaution to minimise risk, Cotswolds White Wings will not be liable for:
• Damage to belongings, vehicles, or property at your event
• Injury to guests or third parties not caused by our negligence
• Any emotional distress caused by unforeseen circumstances
8.1 Birds are fully vaccinated, ringed, and monitored for wellbeing.
8.2 We never hire, outsource, or use non‑trained birds; all pigeons are owned, trained, and cared for by us.
8.3 You agree to follow handler instructions to ensure the safety and wellbeing of the birds during all releases.
9.1 We may take photos or videos of releases for promotional purposes, and any photos of our birds are ours to use freely online.
9.2 Should you not wish to be included in any promotional materials, please notify us at the time of booking.
